About the job

We are now recruiting for an Administrator to join the team to assist in managing facilities, maintenance and compliance across our care home properties. This is a new role reporting to the Facilities and Procurement Director and a great opportunity to develop a career in a fast-growing business.

Key responsibilities include

Provide administrative support to the Maintenance Team based across our homes;
Liaise with suppliers and contractors to order goods and book in services when requested by the Home Managers or Directors;
Deal with faulty goods and manage guarantees – organising returns and ordering alternative products/services and ensuring the respective home is satisfied before approving invoices for payment;
Help to ensure maintenance is completed cost effectively and to a consistently high standard;
Verify, update, and maintain the in-house maintenance software (‘ProCure’) to ensure compliance data is current and accurate;
Create purchase orders within our accounting software and assisting with invoicing queries;
Manage the schedule of in-house compliance testing (e.g PAT, gas safety, legionella, fire detection testing) ensuring all are up to date and any recommended works booked in with relevant contractors;
Approve invoices for payment (subject to complexity of the works);
Build a database of local contractors for ongoing works;
Promote and reinforce the key attributes of a strong safety culture.

Experience & skills

Excellent organisational and time management skills;
Must be able to use own initiative and be proactive;
Strong team working and management skills as well as able to work independently and self-motivate;
Excellent communication skills both written and oral with high levels of accuracy and attention to detail;
Strong IT skills including Microsoft Office, excel and word;
Ability to deal with a variety of contractors and set deadlines for instructed works;
Good knowledge of H&S legislation and compliance, including gas, fire, electrical safety (not essential).

 

Remuneration & Benefits

Hours: 9am – 5pm Monday to Friday

Starting Salary: £22,000 per annum plus discretionary bonus

Location: Ashburton Support Office with some to care homes

Full UK driving licence, satisfactory references and a DBS check required.
